Job Overview
We are seeking a motivated and detail-oriented Dispatch Manager to join our team at Aquila Transportation, LLC, an intermodal drayage company specializing in motor carrier services. The Dispatch Manager will oversee day-to-day dispatch operations, ensuring the seamless coordination of drivers, customers, warehouses, and terminals. This day-shift position requires excellent organizational skills, strong communication abilities, and a focus on optimizing operations while maintaining customer satisfaction.
Responsibilities & Duties
Dispatch Operations:
Coordinate the scheduling and dispatching of drivers to ensure timely pickups and deliveries
Monitor driver availability and workload to optimize route assignments
Communicate load details, delivery requirements, and changes to drivers
Customer Communication:
Act as the primary point of contact for customers regarding shipment updates, issues, and inquiries
Address and resolve customer complaints or delays proactively
Provide accurate and timely updates on delivery status
Collaboration:
Work closely with warehouses, terminals, and other stakeholders to streamline operations
Coordinate with drivers to ensure compliance with company policies and safety standards
Maintain effective communication with internal teams regarding operational priorities
Compliance and Documentation:
Ensure all loads comply with relevant regulations and company standards
Maintain accurate records of dispatch activities, including delivery schedules, driver logs, and customer communication
Ensure all relevant documentation has been upload to each load and communicated to the customer, warehouse, terminal, and/or equipment provider
Problem Solving:
Address issues such as equipment failures, delays, or emergencies with prompt solutions, ensuring all relevant parties remain informed
Develop contingency plans to minimize disruptions
Performance Management:
Monitor key performance indicators (KPIs) such as on-time deliveries, customer satisfaction, and driver efficiency
Provide feedback and support to drivers to enhance performance and safety
Qualifications
Education and Experience:
High school diploma or equivalent (Bachelor's degree in logistics, supply chain management, or a related field is a plus)
3+ years of experience in dispatching, logistics, or transportation management, preferably in intermodal drayage
Skills:
Strong knowledge of intermodal drayage operations, including terminal and warehouse coordination.
Proficiency in dispatch software and tools (e.g., TMS, PortPro, or similar platforms)
Excellent communication skills, both verbal and written
Strong problem-solving skills with the ability to make quick and effective decisions under pressure
Detail-oriented with exceptional organizational skills
Other Requirements:
Familiarity with DOT regulations and safety standards for motor carriers
Ability to work in a fast-paced environment and adapt to changing priorities
Strong customer service mindset with a focus on relationship building
Availability to work during the day shift, with flexibility for occasional extended hours if needed
